Document ID: AOZAT-IT-003
Applies to: All Aozat Portal account holders
Owner: Business Development Director
Approved by: Hitesh Hirpara, Chief Executive Officer
Effective date: August 17, 2026
Version: 1.0
1. Scope
These Terms of Use govern access to and use of the Aozat Portal at aozatportal.com and any associated mobile or progressive web application (the "Portal"), operated by Aozat General Contractors and Aozat Electrical (together, "Aozat"), 21 Signal Hill, Unit 2, Etobicoke, Ontario, Canada.
The Portal is a private internal system. It is not open to the public. Access is granted by invitation only to Aozat employees and to contractors, consultants, subcontractors, and suppliers who require it to perform work for Aozat.
By logging in you agree to these Terms. If you do not agree, do not log in and notify your supervisor or admin@aozat.com.
2. Account and access
2.1 Your account
Accounts are issued by an Aozat Portal administrator. You must:
- Use only the account issued to you
- Keep your password and any authentication factors confidential
- Not share, lend, transfer, or sell your credentials
- Enable multi-factor authentication where offered
- Report any suspected compromise to admin@aozat.com immediately
You are responsible for all activity under your account.
2.2 Least privilege
Access is granted on a need-to-know basis, scoped to your role and to the projects you are assigned to. Access may be modified or revoked at any time, including on role change, project completion, or termination of employment or engagement.
2.3 Revocation
Your access ends automatically on the last day of your employment or engagement, or earlier at Aozat's discretion. On revocation you must stop using the Portal and return or destroy any Aozat information in your possession, in any format.
3. Acceptable use
You must not:
- Access projects, records, or data you have not been granted access to
- Attempt to bypass authentication, authorization, or access controls
- Extract, copy, export, scrape, or bulk download Portal data except as required to perform your duties
- Share Portal content with anyone outside Aozat without written authorization
- Upload malicious code or any file you do not have the right to upload
- Reverse engineer, decompile, or create derivative works from the Portal
- Use the Portal for personal business, or for any purpose unrelated to Aozat work
- Store Portal data on personal cloud accounts, personal email, or unencrypted removable media
- Use the Portal to harass, defame, or discriminate against any person
Violations may result in immediate access revocation and disciplinary action up to and including termination, and may be reported to authorities where a law has been broken.
4. Portal content and confidentiality
Drawings, specifications, daily site logs, photographs, schedules, budgets, proposals, contracts, change orders, invoices, subtrade pricing, and client records in the Portal are confidential business information of Aozat and its clients.
You must:
- Treat all Portal content as confidential
- Use it only for the project and purpose it relates to
- Not disclose it to any third party without written authorization
- Not retain copies after your access ends
These obligations survive the end of your employment or engagement and operate in addition to any Non-Disclosure and Restrictive Covenants Agreement (AOZAT-HR-010), Employment Agreement (AOZAT-HR-011), or Independent Contractor Agreement (AOZAT-SC-001) you have signed. Where those agreements are more restrictive, they govern.
5. Ownership
All content, data, records, and work product in the Portal is owned by Aozat or its clients. Nothing in these Terms transfers ownership to you. The Portal software, design, and structure are the property of Aozat and its licensors.
Content you create in the Portal in the course of your duties, including site logs, photographs, notes, and reports, is a work made in the course of employment or engagement and belongs to Aozat.
6. Monitoring
Aozat logs Portal activity, including logins, page and record access, downloads, edits, and IP addresses, for security, audit, and operational purposes.
You should have no expectation of privacy in your use of the Portal. Logs may be reviewed in the course of a security investigation, an audit, a dispute, or a legal proceeding.
Personal information in these logs is handled in accordance with the Aozat Portal Privacy Notice (AOZAT-IT-004).
7. Notifications
The Portal sends notifications by in-app message, email, and, where you have consented, SMS. SMS notifications are governed by the Aozat Portal SMS Notification Policy (AOZAT-IT-002).
Notifications are a convenience, not a guarantee of delivery. You remain responsible for checking the Portal for work assigned to you. Failure of a notification to arrive does not excuse a missed deadline where the assignment was visible in the Portal.
8. Availability
The Portal is provided on an "as is" and "as available" basis. Aozat does not warrant uninterrupted or error-free operation. Access may be suspended for maintenance, security, or breach of these Terms, with or without notice.
The Portal is not the system of record for financial tracking. Billdr Pro is the system of record for change orders, invoices, expenses, and project financials. Where the Portal and Billdr Pro disagree, Billdr Pro governs.
9. Devices
If you access the Portal from a personal device, you must:
- Keep the device locked with a passcode or biometric
- Keep the operating system and browser current
- Not store Portal credentials in an unsecured location
- Report loss or theft of the device to admin@aozat.com immediately, so access can be revoked
10. Limitation of liability
To the maximum extent permitted by law, Aozat is not liable for indirect, incidental, special, or consequential damages arising from your use of, or inability to use, the Portal.
This section does not limit any obligation Aozat owes you under your employment agreement, applicable employment standards legislation, or any right that cannot be limited by law.
11. Changes
Aozat may amend these Terms. Material changes will be communicated by email or in-Portal notice. Continued use after the effective date constitutes acceptance.
12. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable in Ontario. The parties submit to the exclusive jurisdiction of the courts of Ontario.
13. Contact
The Portal serves two Aozat divisions. Use the contact for the division you work with.
